Office Administrator Job Description
Good Shepherd Catholic Community, located in Aurora, NY is looking for a part time 3 day a week (Monday, Tuesday, Thursday) (21 hour) Office Administrator.
Rate of pay to begin at $17.00 per hour
Purpose: This position is that of Office Administrator for the Good Shepherd Catholic Community, and as such is the first contact with our community and ongoing support of all staff, volunteers and congregation.
This is a part-time position working 3 days a week or 21 hours per week. Generally working Monday, Tuesday and Thursday 9 a.m. to 4:30p.m.
Reporting: The administrator reports directly to and works with the Pastor.
Key Responsibilities & Duties
- Office Operations: Coordinate office activities, maintain organized physical/digital filing systems, and ensure compliance with Diocesan and Parish policies.
- Communications: Answer and direct phone calls, manage emails, and handle incoming/outgoing mail and packages, greet visitors to the Rectory. Prepare Sunday bulletins and liturgy materials, including Announcements and Intercessions.
- Logistics & Support: act as liaison with Parish Council, Building and Grounds Committee, Cemetery Board and Finance Office; maintain Minutes of meetings. Assist Pastor with scheduling. Schedule vendors, including annual heating system maintenance. Coordinate obtaining annual Diocesan forms from committees, ushers and counters. Assist Cemetery Personnel as needed.
- Supply & Equipment Management: Monitor inventory, order office supplies, and arrange for office equipment maintenance.
- Administrative Assistance: Draft documents, reports, memos, and letters; issue secure bags for collections. Record Baptisms, First Communions, Confirmations, Weddings and Deaths in Sacramental Books and Parish/Soft. Prepare certificates for sacraments. Manage Mass Intentions. Prepare Year End Reports including Kenedy Report, CASE report and Cemetery Report. From time to time respond to requests for genealogy information from church records
- Financial Tasks: Schedule and supervise Collection Counters; enter Collection Data into Parish/Soft Database; prepare Year End Contribution Statements; Record donations and prepare reports for committees.
- Database Management: Maintain church member records, directories, and attendance data. Update social media/website content
- Facility Coordination: Manage the church calendar, scheduling events (weddings, funerals), and liaising with vendors for building maintenance.
- Support & Supervision: Provide administrative assistance to the pastor and coordinate volunteers, including training and background checks.
Required Skills and Qualifications
- Experience: Proven experience as an office administrator, office assistant, or in another relevant role.
- Software Proficiency: Strong knowledge of MS Office (Word, Excel) Experience with CANVA helpful
- Communication: Exceptional verbal and written communication skills.
- Organization: Strong time-management skills and the ability to multitask despite numerous interruptions
- Education: High school diploma; an associate or bachelor’s degree in business administration is often preferred.
- Confidentiality: Ability to maintain strict confidentiality regarding member information and personnel issues.
- Soft Skills: Strong interpersonal skills, hospitality, patience, and the ability to work independently.
